Admissions Associate

Admissions Associate at a premier, Catholic, college-preparatory school.

Full-time, year-round position with benefits.

Reports to the Director of Admissions.

 

Summary

The Admissions Associate is responsible for providing a wide range of administrative support focusing on front line support and customer service as well as data and database management. This is a key position within the Central Catholic High School (“CCHS”) Admissions team.

The qualified candidate will report to the Director of Admissions and should have outstanding customer service skills, excellent database and Excel skills, solid independent judgment, superior organizational and multitasking skills, strong interpersonal, written and oral communications skills and work effectively as a member of a team. This is a full-time, year-round position; work hours approximately 7:00 AM – 3:00 PM. Candidate should expect to work occasional evenings and weekends.

 

Essential Duties & Responsibilities

  1. Serve as the primary contact person for all Admissions phone and email inquiries, record initial inquiry information; provide detailed explanations of candidate status and the admissions process; assist families with completing admission files.
  2. Manage all aspects of Admissions paper and electronic mailings, including inquiry packets, decision letters, enrollment mailing and yield mailings as well as email blasts and other recruitment, outreach and enrollment communications.
  3. Assist with event preparation, including attendance at select events including but not limited to open houses, entrance exam testing, scholarship evenings, walk-in Wednesdays, orientation and admitted student events, which may occur in the evenings and on weekends.
  4. Draft, publish, manage and track event registrations through various mediums including the CCHS website.
  5. Review and record committee decisions. Record response data for admitted students and manage appropriate correspondence. Create all domestic and international decision letters and contracts.
  6. Plan logistics of the decision letter and enrollment process. Standardize and document procedures and implement changes when necessary.
  7. Communicate new student enrollment decisions and compile student information for other school offices and produce reports for Admissions staff as needed.
  8. Build and utilize a network of parent volunteers to assist with various Admissions programs.
  9. Provide assistance and support to the Student Ambassador program as required.
  10. Assist with Entrance Exam administration and support.
  11. Maintain department supplies and inventory, including publications and printed material; office supplies; and other materials required for admissions events.
  12. Manage the Admissions office general calendar and admissions general email and phone.
  13. Provide administrative support to the Director and Assistant Director of Admissions.
  14. Provide other support as assigned by the Director and perform other duties as assigned.

 

Qualifications

  • Bachelor’s degree preferred.
  • Experience in Admissions preferred; 2 - 4 years of experience as an administrative assistant required.
  • Excellent customer service to internal and external publics.
  • Excellent verbal and written communication skills, with the ability to interact with a wide range of audiences, including administrators, faculty, staff, vendors, prospective and current students and families.
  • Extensive experience with database systems and software applications, including Microsoft Office Suite (specifically Excel and Word), Google Suite, SchoolAdmin, Finalsite, Canva, and Avery Design & Print.
  • Proven to be an organized, detail-oriented, multi-task oriented professional who works well within a fast-paced work environment.
  • Ability to exercise sound judgment and resolve problems quickly and independently.
  • Ability to handle confidential material discreetly.
  • Possesses a willingness to assist others and works well within a team environment. 
  • Enjoys working with diverse populations.
  • Possesses a positive attitude and approach in working with others and addressing challenges.
  • Understands and is supportive of the Marist philosophy.
  • Willingness to continuously learn and be an ambassador for Central Catholic High School.
  • Ability to work some evenings as well as some weekend hours.
  • Citizenship, residency or work visa required.
  • Bilingual English/Spanish preferred.

 

Compensation: Salary & Benefits

Central Catholic High School is committed to offering salaries and benefits that are highly competitive relative to similar Catholic secondary schools. Compensation will be commensurate with level of education and experience/certifications.
